Job Function:
Coordinate the various tasks to ensure the safe, secure and reliable supply of pharmaceutical products through the complex African distribution channels.
Key Performance Areas:
Quality Management Solution (QMS)
- Implement and review all FFL QMS documentation (SOPs, forms, records) to conform to IHS and ISO 9001 standards.
- Document all logistics operations related non-conformances and implement all corrective actions.
Transport Management
- Engage with transporters to procure relevant services
- Manage the relationship with service providers
- Audit transporters with the involvement of QA
- Establish load and delivery plans for outbound distributions in line with client expectations
- Supervise all LMD operations in accordance with client expectations.
FFL Coordination & Documentation Control
- Update all shipping instructions/documents for relevant countries/clients.
- Load all DN documents in knowledge tree (invoices; packing list; COO, COA, POD, MAWB, HAWB, etc.)
- Coordinate all logistics activities with various stakeholders to meet service levels
- Perform all SAP transactions in accordance with relevant SOPs
- Perform monthly stock reconciliation with SAP
- Submit all billing packs promptly with the support of the financial accountant.
- Coordinate with destination teams to manage queries on 3rd party service provider’s service levels.
Stock Management
- Perform all SAP transactions in accordance with relevant SOPs
- Perform monthly stock reconciliation with SAP
Billing Packs
- Submit all billing packs promptly with the support of the financial accountant.
- Coordinate with destination teams to manage queries on 3rd party service provider’s service levels.
Safety Health and Environment (HSE)
- Maintain Safety Health and Environment policies in accordance with local regulations
Qualifications Required
- Bachelor’s degree in Freight & logistics Management (Minimum of High National Diploma)
Skills and Experience Required
- Minimum of three years’ experience in Freight & logistics
- Ability to use Warehouse Management Systems (WMS)
- Knowledge in Customs procedures pertaining to import and export in Ghana and West Africa.
- Reasonable knowledge of the Pharmaceutical Industry particularly in warehousing and distribution.
- Computer literate and be able to work confidently in all Microsoft Office programmes.
- Ability to work in a team environment
- Good oral and writing communication skills
- Ability to interact at a high level with clients
- Ability to work with minimum supervision
