The role holder is responsible for coordinating daily calendars of Managing Director, planning appointments, events and acting as the point of contact between visitors, clients and stakeholders. The role holder will also be responsible for providing administrative and clerical support to the Managing Director.
Responsibilities:
- Provide administrative support for the MD including organizing his/her schedules, arranging travel, and filing & retrieving documents
- Provide general administrative support for the office (e.g., arranging office supplies)
- Organise and coordinate meetings
- Record (take minutes and notes) and maintain records of meeting
- Screen, prioritise and route incoming documents and mails for the Managing Director’s office, follow up as required and prepare outgoing mails for dispatch
- Ensure visitors and clients are aptly received and directed in a professional manner as the first point of contact
- Prepare a variety of confidential materials including correspondence, memoranda, reports and presentation documents for the Managing Director
- File and retrieve documents and reference materials
- Prepare and edit correspondence, communications, presentations and other documents

Competencies:
- Strong organizational and planning skills
- Familiarity in using online calendars systems
- Manage travel
- Strong communication skills (via phone, email and in-person)
- Attention to details
- Exercise discretion and confidentiality with sensitive information
- Ability to work calmly under pressure and within a small dynamic team
- High English literacy (including written and spoken language)
- Excellent competencies in computers and Microsoft Office (e.g., Word, PowerPoint, Excel)
- Effective use of scanners, printers, faxes
- Manage petty cash
- Manage basic procurement for the office
- Liaise with third parties
- High level of integrity and confidentiality
- Ability to work and flexible hours
- Ability to work well individually and with teams

- A minimum of a Bachelor’s degree in Business Administration or a related field.
- At least three (3) years’ experience providing secretarial and administrative support to senior level executives
- Experience in coordinating daily calendar of executives (e.g. the Managing Director, Board members)
