JOB PROFILE – INVENTORY OFFICER
Reports to: Inventory Manager Location: Accra, Ghana
Summary/Objective
The Inventory Officer will support the Inventory Manager in coordinating warehousing activities. The person will manage inventory through an automated system and maintain levels required to meet present and future demand.
Essential Functions
- Monitor stock levels and maintain daily records of stock to see what products need to be replenished. Carry out inventory control to ensure inventories are at optimal levels.
- Appropriately monitor the constant flow of stock in and out of company’s warehouse facility.
- Responsible for using analytical models to forecast future stock requirements.
- Update ERM with timely and valid information when necessary.
- Record and monitor all items with shelf-life daily and notify appropriate personnel when material is close to expiry.
- Document stock delivery and supervise their movement into operational processing or position.
- Ensure proper management of aging and excess stock.
- Prepare inventory documentation: this involves accurately recording type, quantity, quality, and other features of inventory for a clear understanding of the state of the stock.
- Review service levels regularly and reconcile inventories.
- Recommend inventory operational policies and goals to company’s management.
- Respond to enquiries concerning inventories and products. Enquiries may be from internal and external auditors, supervisors and other stakeholders.
- Prepare and submit inventory level and control reports to supervisor.
- Report and analyze data and present results to senior managers regularly.
- Prepare and participate in regular physical stock taking.
- Provide assistance and direction to colleagues and subordinates as required.
Required Skills
- Must be detailed, organized and able to work independently as well as within a team.
- Ability to prioritize and handle multiple tasks in a fast paced work environment.
- Must be able to work comfortably in both an office and warehouse environment.
- Good communication and relationship building skills (spoken, reading, writing)
- Ability to work under pressure and work with changing priorities & deadlines
- Proper knowledge of MS Office applications and warehouse management software. Excellent MS Excel skills (e. vlookup, sum if, pivot tables).
- Excellent analytical ability, good attention for detail and the patience and persistency to execute thorough investigations in a demanding and challenging environment.
- Process thinking and ability to translate ‘problems’ in ‘opportunities’ and design solutions and translate improvements in actions and act as ambassador promoting these changes to internal and external parties
- Ethical conduct and knowledge of ethical practices regarding inventory management is very important.
Required Academic Qualifications:
- University degree in supply chain or any other relevant commercial course
- Supply chain certification with professional bodies such as APICS and CIPS
Preferred Qualifications:
- Bsc/BA Accounting
- Chartered Institute of Procurement (CIPS) final level or qualified
Required Professional Experience:
- Minimum of 3 - 5 years in-depth and verifiable inventory management experience.
- Experience in high volume transaction processing.
- Experience working with large SKUs in an FMCG or Telecommunications firm.
- Experience from trading company with large category of inventory for direct sale and projects will be preferred.
