Job Overview:
A global supplier and operator of offshore floating platforms seek an Administrative Assistant to Facility Manager to work on their offshore Floating Production Storage and Offloading (FPSO) vessel on a rotational basis in West Africa. You will support the site Facility Manager (FM) in activities relating to site visits, visas, training, travel, medical, archiving, system updates etc. Applicants invited with some offshore experience and excellent administrative skills – the key is to be a proactive independent administrator supporting the FM throughout. The Company has been in operation for many decades and are well established as a leading provider of floating solutions for the offshore oil and gas industry. They offer a range of vessels such as FPSO’s, FSO’S and FLNG and much more. They have an enviable reputation for EPCI (Engineering, Procurement, Construction and Installation) services as well as charter and operations projects. They operate globally and have offices in many countries.
Responsibilities:
This role encompasses many functions including:
• Support the site (i.e. FPSO) Facility Manager (FM) as requested.
• Reviews of Site Visit Requests (SVR) for visitors to the Facility for approval to travel and assist with visitor requirements and relays this to affected personnel.
• Produces and distributes minutes of meetings / attendees and actions from all Facility FPSO and FMT meetings.
• Coordinates FPSO stationery orders and manage the issuing of / record the use of Facility stationary and a minimum stock inventory.
• Assist FM with the management and control of the facility hardcopy CBTA assessments for all departments on the facility, in confidential filing system. Forwards assessment sheet pages to Training department for matrix updates as completed.
• Assists NVQ assessors with the management and control the facility NVQ Certificate III level assessments, evidence portfolios of all departments on the facility in confidential filing. Forwards assessment sheet page to Training department for matrix updates.
• Coordinates and manages administrative and structured hard copy filing management and archiving of all Facility personnel documentation, including control of confidential filing as applicable
• In consultation with document controller and FM sets-up and coordinates a structured electronic copy filing management system and archiving system of for Facility E-documentation, including control of confidential filing as applicable.
• Coordinates and delivers in consultation with Onshore Training Department offshore Training schedules for personnel onboard, and developing a forecast training schedule for facility information and roster changes.
• Plans, in consultation with onshore, FPSO UKOOA medical and training requirements for personnel on board and liaise with FPSO personnel for updates, changes or booking requirements for renewals.
• Coordinates administrative rotating personnel travel requirements updates and monitoring / recording of all FPSO travel Visa’s, UKOOA medicals, and Passports, for expiries and renewals, using the AMOS Staff management system.
• Coordinates and updates administrative rotating personnel - personal details, updated photo ID’s, using the AMOS Staff management system.
• Assists with and manages RAW data operational input as required for FMT monitoring purposes
• In consultation with document controller and SMOR, setup and coordinate a structured electronic copy filing management system and archiving system of for Facility e-documentation, including control of confidential filing as applicable.
This is a permanent role offering a competitive salary. In addition:
• Offshore / Hardship allowances may be considered.
• Transportation as necessary and required.
• Alternatively, a transportation allowance may be provided.
• 15 days paid leave and public holidays.
• International Medical Cover.
• For ex-pats:
? The Company will provide accommodations
? Foreign Service Premium may be considered.
? You will be entitled to 1 trip for every 3 months service. This will include an economy flight plus 7 calendar day home leave (including weekend and public holiday but excluding travel day) to visit your home country or to travel outside of designated country.
? Once a year, someone can accompany you - economy flight paid.
? A small relocation allowance may be offered.
? The Company will organise all aspects of mobilisation/ demobilisation
? The Company will organise work permits.
This is an offshore rotational position and as such:
• You will work 28 days on and 28 days off.
• You will be a permanent employee working effectively for half the year
• You will be paid monthly and the salary will reflect the work schedule
