We are looking for a responsible executive assistant to perform clerical and administrative tasks in a well-organized and timely way. In this role, the job holder will assist the General Manager Finance and Administration to act proactively and without guidance while understanding the needs and characteristics of customers and people she/he will work with. He or she will perform other accounting duties.
Duties
- Being a point of contact between the General Manager, Internal and external customers, executives, staff and managing information flow
- Help with clearing and logistics management
- Conserves the executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains customer confidence and protects operations by keeping information confidential
- Assist assigned accounting duties
- Provides quality customer service and engage in telesales where necessary
- Handle queries from banks, insurance companies and other institutions from time to time
- Following up on legal and demand letters proactively, dealing with regulatory authorities where necessary
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Oversee the performance of other clerical and administrative staff
- Follow up on accounts receivables,
- Follow up with bank correspondences, tender documents, tax clearance
- Act as office manager by keeping up with office supply inventory
- Take and handle customer queries and prepare quotations in a timely manner
- Prepare information for internal and external communication-memos, emails, presentations, and reports
- Manage and maintain all filling systems
- Other accounting duties
Required Skills or Experience
Education
- A minimum degree in Business Administration Accounting or finance option, B.com, ACCA, CA, at least second class and part qualified
- Adequate knowledge of Microsoft office suite and ERP system
- Age should not be more than 30 years
- Smart female Candidates will have an advantage
