ROLE PURPOSE AND CONTEXT

The purpose of the Administrative Assistant’s role is to provide efficient and responsive administrative, organizational and logistic support to the Security Department and other stakeholders as well as serve as additional and back-up resource to the Security team. This role will play critical part in ensuring that the security management plan is successfully implemented for the redevelopment of the Obuasi mine.

 

KEY ACCOUNTABILITIES:

  • Model behaviour that is consistent with the AngloGold Ashanti Safety Vision and Values;
  • Contribute to the identification of safety risks, resolve and escalating emerging issues that impact on area of accountability;
  • Maintain processes to provide a safe workplace e.g. leading safety toolbox talks, inspecting planned task observations, reviewing job safety analysis documentation and conducting work inspections to all employees and external service providers undertaking work within your area of accountability to reduce the number of significant hazards towards zero lost time injuries;
  • Set safety goals annually for area of accountability.
  • Model behavior that is consistent with AGA’s Safety, Vision and Values.
  • Maintain processes to provide a safe workplace e.g. attending and contributing to safety toolbox talks, carrying out planned job observations.
  • Providing general administrative support service for the security Department.
  • Provide support for all internal audits and ensure compliance to Global Security Standards
  • Draft general reports and correspondence for the Senior Manager – Security and manage the department’s calendar.
  • Coordinate training and development programmes for the department
  • Perform document control functions for the department
  • Assist with the provision of necessary documentation to facilitate internal and external audits
  • Compile quarterly reports for MD, Sustainability and CAR.
  • Verify and validate security contractor invoices for payment
  • Provide support for tender box opening and tender documents verification
  • Coordinate the department’s collateral and cross functional relationship with all stakeholders to achieve set objectives
  • Compile weekly, monthly and quarterly security reports to the Senior Manager – Security for review and submission to relevant persons.
  • Support in scheduling and tracking all security projects for progress.
  • Participate in annual budget preparation for the department and monitor cost performance.
  • Assist in developing the annual budget.
  • Assist in the forecasting of next budget cycle requirements;
  • Continuously identify and maintain cost savings initiatives.
  • Effectively modelling values-based behaviors and applying all managerial leadership practices in relation to Subordinates.

 

QUALIFICATION AND EXPERIENCE

Qualification 

  • A good tertiary/ degree in any of the Social Sciences

 

Experience

  • Minimum of three years working experience in a similar role in a similar environment.
  • Experience in interaction with high level executives.
  • Practical experience and knowledge in Project Management and Scheduling
  • Good working knowledge of MS Word, Excel and Power Point With excellent presentation skills.
  • Ability to think laterally, identify critical issues quickly and accurate analysis and research capability.
