Job Description
The Executive Assistant to the head of school provides confidential, consistent and professional support to the Head of School and Board of Trustees of Lincoln Community School. The Executive Assistant should possess excellent technological, organizational, writing, and editing skills, as well as the ability to anticipate the needs of the Head of School’s office. The Executive Assistant takes initiative to make the work of the Head of School (HOS) and Board more efficient.
Reports to Head of School:
Key Accountabilities and Responsibilities
- Maintains a professional and welcoming atmosphere in the HOS office; greets and assists faculty, staff, students, and visitors.
- Prepares schedules for Board of Trustee and Board Subcommittee meetings; makes meeting arrangements for all such meetings, including logistics and hospitality arrangements
- Participates in planning for all-school meetings, including facilities, hospitality, and all other necessary requirements
- Responsible for taking and editing minutes for all meetings attended by the Head of School including Board of Trustee and Board Subcommittee meetings
- Maintains board roster, electronic files, hard copy files and committee minutes for board and subcommittees’ meetings, including archival records
- Coordinates the Head of School’s schedule and oversees meeting arrangements
- Coordinates travel arrangements for the Head of School including flights, hotel accommodation, and any other related aspect of travel
- Maintains the HOS’s budget and expenditure
- Screens and directs phone calls for the Head of School
- Responsible for drafting letters for signature based on notes or other directions given by Head of School
- Develops, updates, and maintains the board section of the website in consultation with the Head of School and Advancement office
- Coordinates the process of gathering information for school surveys
- Maintains Head of School’s office files (soft and hard copy) ensuring confidentiality
- Monitors and directs special projects as assigned by the Head of School
- Assists with institutional advancement activities as required and in consultaton with Head of School
- Performs other duties as requested and capable of using independent judgment in anticipating and then performing the responsibilities of the position
Required Skills or Experience
- Bachelor’s degree in any field (essential)
- Ability to work with a wide range of individuals, interact cheerfully and professionally with the public and school community.
- Excellent organization, communication, writing, and editing skills.
- The ability to anticipate needs of the HOS ‘s office and to take initiative in meeting those needs
- Highly proficiency technologically, particularly in the use of Microsoft Office and Google Suite. Ability to use state of the art technology to enhance performance and produce high quality work products
- 3 years’ experience with a similar role strongly preferred.
- Experience of working internationally or in an expatriate community
