Job Description
The Making Every Baby Count Initiative (MEBCI 2.0) Bridge to Scale Project.
The Program Assistant position will support the Program Manager for Kybele’s grant funded project, “The Making Every Baby Count Initiative (MEBCI 2.0) Bridge to Scale.” The aim of this project is to improve care for sick and small newborns in Ghana’s secondary and tertiary level hospitals. Specifically, the initiative seeks to build the capacity of frontline staff to provide advanced-level newborn clinical care, support ongoing quality improvement, provide essential equipment and supplies, bring operational protocols in line with global standards and best practices, and strengthen referral within and between hospitals.

Project Liaison:
- Assist in communication with facility heads, heads of departments, following up letters, phone calls and communication of activities with, relevant Regional and District Health Administrations and divisions the Ghana Health Service (national level), relevant leadership Clinical Champions and at the target health facilities.
- Assist the Program Manager and the Kybele team to liaise between international and national experts in providing technical support, remotely and in-person, to local staff, clinical champions and data collectors
- Participate as a Kybele representative and note taker in the Ghana Health Service’s newborn health policy meetings and other meetings relevant to newborn policy and programs
- Participate in regular check-ins with Kybele management and other relevant team meetings
- Assist the Logistics and Program Managers to organize any on-site or virtual meetings with partners, funders and GHS leadership
- Liaise with office property owners and other service providers as necessary
Logistics Coordination:
- Collaborate with the logistics manager to ensure adequate stocks of relevant supplies procurement and stocking, certificate preparation, and material preparation (e.g. printing, copying, collating, etc.) for Kybele team visits and trainings
- Support financial management through careful tracking and recording of receipts and expenses
- Keep a strict logbook of all commodities purchased and given to target hospitals
- Participate in weekly Project coordination calls
Required Skills or Experience
Qualifications and Experience
- Advanced educational training, preferably in a clinical related degree related to maternal health or newborn health administration or related degree
- A minimum of 5 years’ experience in program or office coordination, preferably working on a grant-funded project that focused in delivering a health-related intervention.
- Experience in planning and coordinating training at health, district or regional facility level
- Experience working with Ghana Health Service especially at the national and regional level is advantage
- Capacity to plan, prioritize and to manage multiple demands and deadlines, and to work comfortably in a fast-paced environment
- Outstanding written and verbal communication and interpersonal abilities, including the ability to work both in-person and virtually with Kybele staff
- Proficiency in MS Office (Excel, Word and PowerPoint)
- Attention to detail and problem-solving skills
