Job Description
The role of a Travel Coordinator encompasses a variety of responsibilities that are crucial for maintaining effective communication and organization within the department. This portfolio is designed to highlight the key skills, experiences, and competencies necessary for someone in charge of client documentation, travel arrangements, and serving as a contact point for expatriates, clients, and inquiries.
Functions/roles
- Develop and maintain organized filing systems for client documents.
- Ensure all client documentation is up-to-date, accurate, and compliant with legal standards. Implement digital document management solutions to enhance accessibility and security.
- Plan and book travel itineraries for clients, including flights, accommodations, transportation, and activities.
- Negotiate with travel vendors to secure the best rates and services.
- Prepare detailed travel itineraries that include all necessary information for clients.
- Maintain up-to-date knowledge of travel destinations, visa requirements, and travel regulations
- Monitor and track client bookings from initial inquiry to post-travel follow-up Resolve travel-related issues and provide exceptional customer support
- Coordinate with external vendors, including airlines, hotels, and Destination Management Company (DMC)
- Maintain accurate and detailed client records in our booking management system
- Prepare and manage travel documentation, including invoices, receipts, and travel packages
- Serve as the primary contact for expatriates regarding information on our expat services.

Essential Qualifications and Experience
- A bachelor’s degree in Business Administration, Hospitality Management, International Relations or a related field is preferred.
- Previous experience in administrative support roles or customer service positions is essential.
- Familiarity with travel booking systems or platforms is advantageous.
- Proficient use of Microsoft Office Suite (Word, Excel, PowerPoint) for documentation purposes.
- Experience with Customer Relationship Management (CRM) software to track client interactions.
- Knowledge of online travel booking platforms such as Expedia or corporate travel management tools.
