Job Description
The Legal Department of a Reputable Organization is looking for a Legal Administrative Assistant
SUMMARY OF FUNCTIONAL QUALIFICATIONS AND RESPONSIBILITIES
Under general supervision, performs various paraprofessional legal services and clerical duties in the Legal Director (LD) Office. This includes providing complex administrative support to the LD, researching legal information from readily available sources, support in drafting resolutions, ordinances, contracts, and other legal documents and instruments while proofing for accuracy and ensuring proper legal format; maintaining a calendar of court appearances, meetings, and legal deadlines; and receiving and processing letters. Provide support for the preparation and packaging of board papers.
The Legal Administrative Assistant will assist the Legal Director in administering the department’s operations. Specialized knowledge and training related to legal practices, procedures, forms, documents, legal terminology, time limits, and a basic understanding of government functions and practices are required.

The Legal Administrative Assistant works closely with staff from the offices of all other departments of the organization and interfaces periodically with a board, the general public, and outside agencies.
Incumbents will exercise sufficient knowledge and prior administrative experience necessary to exercise discretion in resolving complex problems where the consequence of error is relatively high. Some duties require researching legal information from readily available sources, with primary emphasis placed on assembling data, preparing and transmitting documents, and providing technical or procedural information in response to requests from the Legal Director of other directors.
SUPERVISION RECEIVED AND EXPECTED
Receives general and technical supervision from the Legal Director.
Essential duties may include, but are not limited to, the following:
- Provide administrative support to the LD, including composing correspondence for signatures, screening mail and phone calls, scheduling appointments, and ensuring proper department records are kept.
- Provide legal support to the DL in all aspects of litigation, including, but not limited to, transcribing and proofreading various legal documents, filing documents with the court or other government agencies, maintaining a calendar for timely filing of documents, appearances, depositions, and other proceedings and meetings requiring counsel participation/attendance.
- Coordinate and participate in the investigation, collection, and compilation of a wide variety of information, materials, documents, reports, and evidence.
- Draft correspondence, memoranda and reports for review of the DL.
- Perform basic legal research using office library, the internet, and other research tools.
- Work with staff, the general public, and elected officials, providing high administrative support services.
- Perform clerical tasks, types resolutions, correspondence, and other material from dictating equipment, clear copy or draft. May independently compose routine correspondence in accordance with established guidelines.
- Participate as a knowledgeable, cooperative, and supportive member responsible for assisting in developing and implementing departmental and program goals, objectives, policies, procedures, and activities and making input to department discussions.
- Increase knowledge and learn new skills continuously to become a more productive team participant and subject matter expert.
- Build and maintain positive working relationships with co-workers, officials, and the general public, exhibiting exceptional customer service and communication skills.
- Perform other related duties as assigned.

Required Skills or Experience
- Education: LLB or ICSA/CGI
- Experience: 3 years as legal administrator/assistant; the Institute of Chartered Secretaries and Administrators (ICSA)/Chartered Governance Institute certificate is an advantage.
- Graduate of an accredited Legal Administrative Assistant or Customer Service program or relevant experience.
- Proficient in Word, use of Teams, Google Meet, Zoom, and other meeting tools.
- Excellent attention to detail and organizational skills.
- Ability to prioritize work, multitask, and meet deadlines.
- Ability to communicate clearly and concisely, both orally and in writing
- Ability to maintain confidentiality with client information.
