Programme Administrative Assistant

Purpose
To assist in providing efficient and responsive administrative, organizational, logistical and management support services to the Programme Director and Programme Office at the location.

Key Responsibilities
- Responsible for the effective and efficient running of the front desk of the Programme Office
- Manage and maintain the Programme Director’s diary
- Conduct weekly diary meetings with the Programme Director to discuss upcoming engagements, invitations and other requests.
- Responsible for handling correspondence, recording incoming and outgoing emails to and from the Programme Office, National Office and all other Programme locations
- Set up and maintain an efficient system for the storage and retrieval of files and other documents.
- Disseminate information to staff in the Programme office and all units in the location.
- Draft statements and help prepare papers for the Programme Director.
- Maintain a follow-up system on correspondence and reports requiring actions within the established deadlines and liaise with the respective Heads of Projects to ensure timely submission of replies and reports to the Programme Director
- Ensure a reliable flow of information between the Location, National Office and all other Programme Locations.
- Manage donors, sponsors and attend to visitors who come to the Programme Office.
- Ensure the effective management and use of the Programme Office notice board.
- Arrange and record minutes at general meetings held at the Programme location Office.
- Responsible for making photocopies and binding of documents in the Programme Office.
- Performs any other duties assigned by the supervisor
Qualification And Experience
The ideal applicant must have
- First Degree in Business Administration (Communications / Management) or Social Sciences with two (2) years experience in a similar position
- Computer literacy (Word, Excel, Powerpoint & Access)
- Ability to use initiative and work under pressure with very minimum supervision.
- Good oral and written communication skills
- Good interpersonal relations
- Should be patient, friendly and generally interested in providing competent customer service.
- Good report writing skills.
- Have a strong cultural awareness, able to work with people from different cultural backgrounds.
- Be a team player, have strong collaborative skills and be able to relate with children, youth & all levels of coworkers.
