JOB PURPOSE
To enhance the effectiveness of the General Secretary's office by providing high-level administrative support in international relations, communication, strategy and policy implementation.
KEY RESPONSIBILITIES
- Plan, evaluate and monitor operations in the General Secretary's office for effectiveness.
- Create and execute international visitor programs, collaborate with relevant Departments for conferences, and meetings, and manage travel logistics for the General Secretary and Council members.
- Draft correspondence and manage the flow of information in the GS' office ensuring confidentiality and circumspection.
- Support the GS by compiling reports from Heads of Departments, ensuring timely execution of actions from meetings for desired outcomes.
- Ensure compliance with administrative policies and procedures on accountable imprest requests, reports, etc. in the General Secretary's Office.
- Collate and analyze information such as Management reports, Annual reports, Council reports, etc and submit to the General Secretary.
- Provide historical reference by developing and implementing excellent filing and retrieval systems.
- Assist with the planning of logistics during Annual General meetings (AGMs), National Council and Executive Committee Meetings etc.
- Perform corporate governance duties

Required Skills or Experience
- A 1st degree in Business Administration - Human Resources Management, Social Sciences or any related field of study.
- Must possess a minimum of 4 years of post-national service work experience in a similar role.
- Must be a member of a relevant professional body
- Must be self-motivated, proactive and efficient with strong planning and organizational skills.
- Excellent time management skills and ability to multi-task and manage priorities effectively.
- Must be tactful and courteous, ability to exhibit diplomacy and must have a good sense of judgement.
- Must pay attention to detail and possess excellent problem-solving skills
- Ability to exercise discretion, confidentiality, professionalism, and results orientation.
- Ability to develop and maintain professional relationships with internal and external stakeholders.
- Knowledge of office management systems processes and procedures
- Excellent analytical skills, bookkeeping and accounting skills, and internet research abilities.
- Must be computer literate with advanced level skills in Microsoft Office suite.
- Must have integrity, be flexible and adaptable.
