Lycopodium is currently recruiting for a secretary to join our growing Office Services team in Yamfo, Ahafo North. 

Reporting to the Administrative Lead the Secretary will provide office support to Office Services Department and its staff by assisting with correspondence, making appointments and carrying out administrative tasks to ensure the daily smooth running of the Department on the Ahafo North Project Site in line with Company, Client, and industry requirements.

The tasks you'll perform

  • Provides administrative and secretarial support to officers within a designated function and multi-tasking whilst switching in-between several administrative tasks.
  • Ensure all dealings with Clients, Vendors and other external stakeholders are professional and in line with ethos of the business.

  • Provide specialist advice in designated areas of expertise.
  • Work collaboratively with personnel across all business units.
  • Performs other general clerical and secretarial duties as requested, which may include recordkeeping, managing petty cash, maintaining office supplies, and coordinating equipment maintenance, and handling packages and correspondence.
  • Prepares agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested.

  • Demonstrate an ability to work autonomously and collaboratively with colleagues across all business units.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines.
  • Responds to and resolves administrative inquiries and questions.
  • Monitor and action e-mails as well as printing and filing services
  • Welcomes and directs visitors and clients.
  • Answers and transfers phone calls, screening when necessary.
  • Performs other related duties as assigned.
  • Ability to work independently and reliably.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate

Working Conditions:

  • Site based.
  • Working hours are 6 days a week, 8 hours per day, from Monday to Saturday, 7 am to 4 pm daily and 5 hours on Saturdays from 7 am to 1 pm. Note that any additional hours required to work would be paid for.
  • 23/5-day roster.

YOUR TRAINING, SKILLS & EXPERIENCE CHECKLIST

  • Technical Certificate/Tertiary Education Qualification, Degree, or Diploma in a related field or equivalent.
  • Well-developed written and verbal communication skills. 
  • Proficient in the use of Microsoft Office Suite Package
  • Minimum 0 - 4 years experience in a specialist field.
  • Well-developed written and verbal communication skills.
  • Basic understanding of office equipment.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to use MS Excel, MS Word, and other project systems/tools.
  • Detail-oriented and professional.
  • Analytical.
  • Deadline Driven.
  • Multi-tasking.
  • Ability to work well under pressure.
