Job Description
FLEET OFFICER - SUPPORT OFFICE
Length of contract: One (1) Year Fixed Term Contract (Renewable)
The Fleet Officer is responsible for all vehicles and drivers for the professional operations of MSIG fleet including management, training, coordination and professional conduct of MSIG drivers. The Fleet Officer will ensure fleet availability at all times to meet all requests by efficient vehicle and driver scheduling whilst working with all MSIG drivers or assigned drivers and their supervisors in the delivery of his/her job.
Key Responsibilities
- Manage the country programme fleet of vehicles in accordance with the Global Fleet Policy, Global Fleet Toolkit, and local area procedures.
- Maintain up-to-date records of registration, inspections, transfer and maintenance histories of all MSIG vehicles.
- Undertake weekly reporting on fuel usage and mileage travelled for all vehicles to line supervisor.
- Carry out statistics of fleet utilization: fuel consumption, kilometric coverage, maintenance etc. for management decisions.
- Perform vehicle registration, insurance and roadworthiness formalities and systematic filling up of documentations regarding this requirement.
- Oversee routine and ad hoc maintenance and ensure vehicles are kept clean at all times.
- Develop and implement operational standards to maintain vehicles using best practices in industry. E.g. Ensure drivers adhere to vehicle pre-start practice at all times.
- Ensure vehicle availability to meet all projects’/operational vehicle requests by planning, scheduling forecasting and surveying current user trends.
- Monitor the movements, MSIG vehicle speed limits and location of vehicles for the security of all staff and passengers.
- Streamline and monitor fuel purchase and allocation system for all vehicles using fuel cards on timely and accountable basis.
- Maintain auditable records, monitor operational cost and maintain comprehensive files on vehicles, drivers, maintenance, fuel consumption, wear-and-tear and service contracts
- Ensure accurate and timely accident notification and reporting to MSI Global Fleet Management and MSI Global Security
- Review vehicle log-books, fuel log sheets, vehicle tracking system to monitor and reconcile approved mileage and fuel usage.
- Mentor drivers to be productive, reduce cost and safety conscious
- Supervise the drivers to ensure that the organisation’s fleet of vehicles are managed efficiently and also monitor their behaviour to ensure a high level of customer service.
- Ensure strict vehicle servicing and maintenance schedules to minimize downtimes.

Required Skills or Experience
Qualifications:
- Professional qualification(s) in Vehicle Fleet Management, Logistics or related field
- A minimum of HND in Mechanical or Automobile Engineering
- A Bachelor’s Degree will be an advantage
Skills and Experience:
- At least three years’ post-graduation experience in fleet management
- Experience in supervising and managing drivers and other staff
- Strong administrative abilities including the use of computers (e.g. MS Excel, Word, Outlook)
- Strong oral and written communication skills
- Ability to communicate effectively and tactfully with all levels of staff, individuals from diverse cultures, as well as vendors
- Outstanding written and verbal communication skills
- Work experience with an INGO
- Articulate and analytical with attention to detail
- Pro-choice and pro-family planning
