We are looking for a highly organized, trustworthy and detail-oriented individual to join our team and become an integral part of our day to day operations.

Responsibilities

  • Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image
  • Assist in organizing office operations and procedures
  • Assist with some record keeping tasks
  • Support the implementation of office supplies

  • Monitor communication systems (phone and email)
  • Interface with staff to ensure the office remains tidy and presentable for visitors
  • Serve as the point of person for maintenance, mailing, shipping, supplies, catering, errands, filing, storage and archiving
  • Ensure competitive pricing on office supplies
  • Manage office resources and assets with our IT contacts when there are problems with the system
  • Assist with the recruitment of new staff, sometimes including training
  • Assist in orientation and training of employees with office systems
  • Supervise and coordinate overall administrative activities for the Office Administration Department
  • Oversee in-house café for cleaning, maintenance, and repair
  • Update calendar and keep employees informed of upcoming events to be included in monthly studio meetings
  • Participate as needed in special projects and events

Qualifications

  • Experience with administrative and clerical work Proficiency in Microsoft Office suite
  • Strong communication skills
  • Strong ability to multitask
  • Friendly and upbeat demeanor
