Job Title: Executive & Sales Administrative Assistant
Under the supervision of the Managing Director of Callighana, she or he will be appointed to:
Administration
- Day to day management
- Negotiation of outsourced agreements
- Appointment and termination of service providers
- Performance management of service providers
- Purchasing of gifts and incidentals

- Management of CEO’s schedule and diary
- Managing frequent communications and meeting schedules for other executives
- Compiling of relevant communications for executive team
- Screening and prioritising of all internal and external requests, including telephone call’s
- Stationery management
- Co-ordinate all International Travel requirements
- Travel and logistics planning for CEO
- Ensure all travel is authorised and appropriate
Sales
- Entry of invoices in the software
- Collection of the sums corresponding to the goods sold
- Record the amounts due for the goods sold
- Take care of the daily maintenance of the case (change of rollers and ink)
- Fill out the necessary documents for the accounting department
- Establish a cash position at the end of the day
- Greet and advise clients
- Sell products to customers
- Invoicing: entering invoices
- Accounting update
- Transformation of Delivery Notes into invoices
- Production of documents related to the sale (Word / Excel)
- Establish the pro-forma invoices after checking the availability of the products
- Invoice management, monitoring in the management software
- Management of delivery notes
- Administrative monitoring of deposits and points of sale
Competencies/Qualifications
- Secretarial Diploma
- Degree in Commerce or Accounting with 5 years of experience
- Emotional maturity, Respect of others
- High level of integrity
- Resilient
- Excellent communication skills
- Assertiveness
- Self-starter who can think and act independently
- Job/Organisational knowledge
